flyingpenguinRECEPTIONIST

A useful call has somewhere to go.

Taking a good message helps. Getting it to the right person, with a clear next step, is what makes it useful during the working day.

Direct booking needs a checked diary.

Tell me the booking system you use and how you use it. We check whether a suitable connection exists, what access it needs and which actions are supported. The proposal says whether the receptionist can make a booking or should collect a request for you to confirm.

Give the diary proper rules.

Appointment length, preparation time, services, locations, staff availability and notice all affect whether a slot is suitable. We also agree who can move or cancel an appointment. A recorded example showing a fictional slot is not a test of your actual diary.

Collect what you need to return the call.

A name and callback number are often a useful start. A job address, vehicle registration or preferred time may matter for a particular enquiry. We agree the questions for your business and avoid collecting information that has no purpose.

Send the information to an agreed place.

The quote identifies the destination for summaries and any CRM or notification connection. We check that the information arrives and who can see it. Delivery of a message and a person reading it are different events; response arrangements need to be clear.

Make the fallback understandable.

Some questions need you, and some callers will ask for a person. We agree whether to take a message, attempt a supported transfer or direct the caller to another contact. We also agree what it says when a connection or transfer cannot complete.

Test the full route.

Use made-up enquiries to check the conversation, collected details, destination and booking result where included. Try a missing number, a full diary and an unanswered handover. We define these checks for your setup before calls are switched across.
